3.8.2 Functional Specifications

• Accessing the Topics Module:
  • Description: Users can access the Topics module through the following pathway:
  • Navigation Path: Click on Bot Space → Topics from the sidebar menu.
• Default Topic Creation:
  • Description: When a new bot is created, the system automatically generates a default topic named “Default”.
  • Characteristics:
    • Non-Deleteable: The “Default” topic cannot be deleted to ensure foundational categorization remains intact.
    • Editable: Users can edit the “Default” topic’s name if necessary.
• Managing Topics:
  • Create Topic:
    • Description: Users can create new topics to categorize FAQs effectively.
    • Functionalities:
      • Add Topic Name: Input a unique name for the new topic.
      • Select Parent Topic: Choose an existing topic as the parent to establish a hierarchical structure.
    • Business Rules & Validations:
      • Topic Name: Must be unique and is a required field.
      • Parent Topic Selection: Users must select a parent topic from existing topics.
      • Error Handling: If the topic name is missing or duplicates an existing topic, an error message is displayed prompting the user to choose a different name.
  • Edit Topic:
    • Description: Users can modify existing topics to reflect changes in categorization or naming conventions.
    • Functionalities:
      • Update Topic Name: Change the name of the topic.
      • Change Parent Topic: Reassign the topic to a different parent if needed.
    • Business Rules & Validations:
      • Topic Name: Must remain unique after editing.
      • Parent Topic Selection: Must select a valid parent topic.
      • Error Handling: Similar to topic creation, errors are displayed for duplicate names or invalid parent selections.
  • Delete Topic:
    • Description: Users can delete custom topics to remove outdated or irrelevant categories.
    • Functionalities:
      • Delete Action: Click the “Delete” button associated with the desired topic and confirm the deletion.
    • Business Rules & Validations:
      • Protected Topics: The “Default” topic cannot be deleted.
      • Child Topics: If a topic has child topics or associated FAQs, users must reassign or delete them before deleting the parent topic.
      • Error Handling: Display error messages if deletion constraints are not met.
• Categorizing FAQs:
  • Description: Assigning FAQs to specific topics enhances the bot’s ability to provide relevant responses.
  • Functionalities:
    • Assigning Topics: When creating or editing an FAQ, users can select the appropriate topic for categorization.
    • Recommendations: The bot uses topic categorizations to recommend relevant FAQs during interactions.
