3.9.2 Functional Specifications

• Accessing the Bot Messages Module:
  • Description: Users can access the Bot Messages module through the following pathway:
    • Navigation Path: Click on Bot Space -> Bot Configuration -> Bot Messages from the sidebar menu.
    • Quick Menu Access: Utilize the quick menu on the home screen for direct access to the Bot Messages module.
• Configuring Sorry Messages:
  • Description: Users can configure two types of sorry messages that the bot displays when it does not have an answer to a user’s query.
  • Functionalities:
    • First Sorry Message: Initial apology message displayed to the user.
    • Second Sorry Message: Follow-up apology message displayed if the bot still lacks an answer after the first message.
  • Business Rules & Validations:
    • Required Fields: Both sorry message fields are mandatory.
    • Customization: Users can input custom text for each sorry message to align with their brand voice and communication style.
    • Error Handling: If either sorry message field is left empty, an error message is displayed prompting the user to provide the necessary content.
• Enabling/Disabling Bot Citation:
  • Description: When enabled, the bot provides references (documents or links) for its answers, enhancing transparency and credibility.
  • Functionalities:
    • Enable Citation: Toggle to enable the citation feature.
    • Disable Citation: Toggle to disable the citation feature.
  • Business Rules & Validations:
    • Platform Support: This functionality is available only on selected platforms. Ensure compatibility before enabling.
    • Reference Source: Users must specify the sources (documents or links) from which the bot can cite.
    • Error Handling: If citation is enabled on unsupported platforms, an error message is displayed.
• Enabling/Disabling Bot Recommendation:
  • Description: When enabled, the bot offers recommendation buttons based on the user’s question, leveraging Generative AI capabilities to generate relevant suggestions.
  • Functionalities:
    • Enable Recommendation: Toggle to enable the recommendation feature.
    • Disable Recommendation: Toggle to disable the recommendation feature.
  • Business Rules & Validations:
    • Platform Support: This functionality is available only on selected platforms. Ensure compatibility before enabling.
    • Recommendation Generation: Recommendations are generated using GenAI capabilities, ensuring relevance and context.
    • Error Handling: If recommendation is enabled on unsupported platforms, an error message is displayed.
• Enabling/Disabling Leave a Message Form:
  • Description: When enabled, after displaying the second sorry message, a leave-a-message form appears, allowing users to send messages to the bot manager.
  • Functionalities:
    • Enable Leave a Message Form: Toggle to enable the feature.
    • Disable Leave a Message Form: Toggle to disable the feature.
    • Configure Fallback Message: When enabling the leave-a-message form, users must provide a fallback message that accompanies the form.
  • Business Rules & Validations:
    • Required Fields: All fields related to the leave-a-message form are mandatory when the feature is enabled.
    • Form Configuration: Users must input a valid fallback message that guides users on how to leave a message.
    • Error Handling: If the fallback message is missing or improperly formatted, an error message is displayed.
